• Driver qualification files. Review applications, required previous-employer investigations, driving records, qualification documents and medical qualification information applicable to each driver.
• Maintenance. Sample inspection, repair and maintenance records for tractors and trailers working in demanding field conditions.
• Hazardous materials. Where applicable, include the carrier’s required shipping, training and related hazmat compliance records in the scope.
• Drug and alcohol compliance. Review required Part 382 testing records, random-testing administration and Clearinghouse requirements.

A mock audit is not an FMCSA audit. It provides no government safety rating or certificate and does not replace a New Entrant Safety Audit or compliance investigation. Findings should identify what was reviewed, the applicable requirement and the corrective action needed.

Getting ready for the provider

Have your USDOT number, current driver roster, vehicle list, recent records of duty status or ELD records, maintenance files and drug and alcohol program information available. If you use an oilfield HOS provision, tell the reviewer which provision you rely on and have them verify that the drivers, vehicles, work and records meet its conditions.

Ask whether the provider understands oilfield operations, whether the review can be performed at your Odessa location, and how records stored at field sites will be sampled.
